Job Description:

ACE Analytics is seeking a driven, organised, and proactive Project Coordinator to join our growing IT services company. This role plays a vital part in supporting the planning, execution, and delivery of projects across automation, CRM, and financial systems. You will work directly with the Director and external consultants to ensure that project timelines, deliverables, and stakeholder communications are consistently managed with precision and professionalism.

Key Responsibilities:

  • Coordinate and track project timelines, tasks, and deliverables to ensure timely and successful project delivery.
  • Communicate project progress to clients and internal stakeholders in a clear and timely manner.
  • Organise and maintain project documentation using CRM and project management software (Vtiger).
  • Liaise with external contractors to ensure assigned tasks are fully understood and completed on schedule.
  • Support basic technical tasks and assist with the setup and configuration of CRM and financial systems.
  • Assist in preparing status reports, performance dashboards, and milestone review summaries.
  • Manage internal team schedules, organise meetings, and facilitate project review sessions.
  • Allocate time effectively across responsibilities, with an approximate breakdown as follows:
  • 60% focused on IT projects (implementation, automation, technical coordination)
  • 30% dedicated to marketing-related projects (lead generation, CRM automation, campaign tracking)
  • 10% on general administrative support.

(Note: Time allocation may vary slightly based on business needs, but overall utilisation will remain full-time at 1.0 FTE)


Requirements:

  • Minimum 1 year of experience in coordinating or assisting in technology-based projects.
  • Advanced expertise in using and managing CRM systems, particularly Vtiger, with a strong focus on customisation and automation to reduce administrative workload and enhance efficiency.
  • Proven ability to organise and maintain accurate and accessible project documentation using CRM and project management tools.
  • Involvement in marketing-related projects, including lead capture workflows and automation of response processes, is highly desirable.
  • Must hold a valid Project Management certification from Microsoft, Google, or another recognised platform.
  • Bachelor’s degree (undergraduate degree) in any discipline is essential.
  • Excellent organisational and multitasking skills, with strong attention to detail.
  • Effective written and verbal communication skills, along with the ability to work independently and collaboratively within a team.
